What You'll Do:
As an eBilling Executive based in London, you will be at the heart of the firm's revenue cycle management process. Your day-to-day activities will involve close collaboration with colleagues across different regions as you manage the end-to-end electronic billing process. You will be responsible for submitting invoices through various third party platforms while ensuring all data is meticulously maintained. Your ability to analyse complex client requirements will enable you to provide tailored solutions that meet both firm-wide policies and individual client needs. By acting as a central point of contact between internal teams and external partners, you will help drive improvements in billing efficiency while nurturing trusted relationships. Success in this role requires excellent organisational skills, attention to detail when preparing financial documents for approval or submission, proactive communication with clients regarding payments or queries, and ongoing support for system enhancements. Your contribution will directly influence cash flow performance while upholding the highest standards of service delivery.
* Submit PDF and Ledes eBill files to third party intermediaries on behalf of all global office locations, ensuring compliance with each jurisdiction’s requirements.
* Maintain accurate data within various third party intermediary platforms, regularly updating information to reflect current billing arrangements and timekeeper details.
* Assist with loading timekeepers and associated rates for UK, US, EMEA, and Asia into multiple third party intermediaries, ensuring all records are up-to-date and correct.
* Analyse client electronic invoicing requests by reviewing requirements, identifying potential issues, and collaborating with stakeholders to implement effective solutions.
* Act as a key liaison between fee earners, business support teams, Business Finance, IT departments, clients, and electronic invoicing intermediaries to facilitate new eBilling requests.
* Ensure invoices are raised correctly and promptly in line with agreed Service Level Agreements (SLAs), following up to guarantee timely payment by clients.
* Understand client billing and collection processes thoroughly so that invoices are produced, submitted, and collected efficiently with minimal queries or delays.
* Draft and check breakdowns of proposed bills for partner approval before final submission to clients.
* Process and collate bills including handling time/disbursement write-offs, transfers/cancellations, reissues, and other adjustments as required by the business or client needs.
* Support the development, enhancement, and testing of the firm’s billing systems and related tools by providing feedback on electronic billing formats.
* Assist the Revenue Projects team in documenting procedures and working practices to ensure consistency across all billing activities.
* Run debtor statements regularly; contact clients via email or phone to pursue payments where necessary while maintaining positive relationships.
* Provide first-line support to Business Finance Revenue teams as well as File Opening and Fee Earning communities regarding eBilling queries.

* Over three years’ experience working within a legal eBilling role where you have managed complex invoicing processes across multiple jurisdictions.
* Advanced knowledge of commonly used third party eBilling intermediaries such as TyMetrix or Serengeti Tracker gained through hands-on experience in similar environments.
* Experience using Aderant Expert is preferred but not essential; willingness to learn new systems is highly valued if you bring relevant transferable skills.
* Excellent customer service orientation demonstrated by your ability to respond promptly to queries from both internal stakeholders and external clients in a considerate manner.
* Competent IT skills including strong working knowledge of Microsoft Word for document preparation, Excel for data analysis/reporting tasks, and Outlook for professional correspondence.
* Proven ability to suggest new ideas or ways of improving existing processes in a constructive yet sensitive way that takes into account diverse perspectives within the team.
* Strong analytical skills enabling you to interpret revenue data accurately so that you can identify trends or discrepancies quickly when reviewing financial information.
* Effective interpersonal communication skills allowing you to collaborate seamlessly with colleagues from different departments as well as external partners or clients.
* Attention to detail when drafting/checking bills or reconciling accounts ensures accuracy throughout every stage of the billing process.
