Payroll & Billing Administrator

Responsibilities:
* Collect, compile, and accurately enter payroll data from emails and online timesheets into the payroll system using platforms such as Tempest or Safe.
* Upload weekly information from Bullhorn into Tempest to ensure all payroll records are up-to-date and compliant with internal procedures.
* Review and verify source documents including timesheets and expense claim forms, ensuring all approvals are correctly obtained before processing.
* Check that all pay rates match contractual agreements for time worked, including any special arrangements or agreements in place.
* Investigate discrepancies or errors in payroll data promptly, taking corrective action where necessary to maintain accuracy.
* Reconcile monthly supplier statements and payments related to travel expenses, ensuring timely payment within agreed deadlines.
* Send invoices to appropriate contacts according to client billing instructions, maintaining clear records of all transactions.
* Resolve queries relating to invoicing discrepancies by processing credits or reissuing invoices as required to maintain positive client relationships.
* Assist key accounts teams with billing-related tasks when needed, providing reliable support across departments.
* Provide ad-hoc support in payroll and billing as well as other administrative areas as required by the business.
The Ideal Candidate:
* Demonstrated experience in processing payroll within a professional environment, showing reliability in handling confidential information.
* Exceptional attention to detail combined with a high level of accuracy when entering data or reviewing documentation.
* A solid understanding of basic accounting principles as well as internal controls relevant to payroll and billing administration.
* Excellent interpersonal skills enabling you to communicate clearly with stakeholders at all levels of the organisation.
* Proven ability to resolve problems efficiently while working independently or as part of a team.
* Preferred experience using Tempest or Safe software for payroll management would be highly advantageous but not essential if you have similar system experience.
* Strong numeracy skills allowing you to manage calculations confidently across multiple tasks.
* Intermediate proficiency in Microsoft Excel for data entry, reconciliation, and reporting purposes.
