Personal Assistant
This is a fast-paced and varied role requiring exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities simultaneously. The successful candidate will play a key role in ensuring the smooth day-to-day running of the Directors' schedules while acting as a trusted point of contact both internally and externally.
Key Responsibilities
- Extensive diary and calendar management for two Directors
- Coordinating internal and external meetings across multiple stakeholders
- Managing travel arrangements, accommodation and detailed itineraries
- Preparing meeting packs, presentations and supporting documentation
- Screening and managing incoming calls, emails and correspondence
- Taking meeting notes and tracking actions where required
- Assisting with bid submissions, project documentation and business reporting
- Liaising with clients, consultants, contractors and suppliers on behalf of the Directors
- Managing expenses, invoices and general administrative processes
- Supporting company events, team meetings and client functions
- Maintaining accurate records, files and confidential information
- Providing wider executive support as business needs require
Skills & Experience
- Previous experience in a Personal Assistant, Executive Assistant or Senior Administrative position
- Experience supporting senior executives, directors or board-level stakeholders
- Exposure to the construction, property, engineering or infrastructure sectors is highly desirable
- Strong Microsoft Office skills, particularly Outlook, PowerPoint, Word and Excel
- Excellent written and verbal communication skills
- Ability to manage conflicting priorities and work under pressure
- Highly organised with exceptional attention to detail
- Professional, discreet and confident when dealing with confidential information
- Proactive approach with the ability to anticipate needs and solve problems independently
