The Opportunity

An established international financial services organisation is seeking an experienced Desk Assistant to join its Commodities division in London. Supporting a fast-paced front-office team across commodities markets, this role is ideal for a highly organised and proactive professional who thrives in a dynamic environment and enjoys working closely with senior stakeholders.

The successful candidate will play a key role in ensuring the smooth day-to-day operation of the desk, providing a blend of executive, administrative and operational support to a busy team covering commodity markets.

To be considered, applicants must have previous experience working within a banking, financial markets, commodities trading, or commodities-related environment.

Key Responsibilities

  • Provide comprehensive administrative support to front-office and business stakeholders within the Commodities division.
  • Manage complex diaries, coordinate schedules and arrange internal and external meetings across multiple time zones.
  • Organise business travel, accommodation, transportation and detailed travel itineraries.
  • Act as a key liaison point for internal departments, external clients and business contacts, maintaining a professional and responsive approach.
  • Coordinate team meetings, training sessions, conference calls, workshops and corporate events.
  • Support the onboarding of new employees, including arranging equipment, system access and office requirements.
  • Oversee visitor arrangements and assist with the coordination of office-based activities.
  • Process invoices, purchase orders and other procurement-related administration.
  • Ensure accurate record keeping and maintain high standards of attention to detail across all administrative processes.
  • Identify opportunities to improve efficiency and support the adoption of new technologies and productivity tools across the team.
  • Contribute to the smooth operational running of a busy commodities business by providing flexible support across a variety of tasks and projects.

Candidate Requirements

  • Previous experience in a Desk Assistant, Team Assistant, Executive Assistant or similar administrative support role.
  • Essential background within banking, financial services, capital markets, trading, commodities, energy, metals or a related sector.
  • Strong organisational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Experience supporting senior stakeholders within a fast-paced and demanding environment.
  • Excellent communication and stakeholder management skills.
  • High level of accuracy and attention to detail.
  • Advanced knowledge of Microsoft Office and Microsoft 365 applications.
  • Experience using Microsoft Copilot or other AI-enabled productivity tools would be advantageous.
  • Proactive, adaptable and solutions-focused approach to work.
  • Ability to work effectively both independently and as part of a collaborative team.
