An exciting opportunity has arisen for a Receptionist / Administrative Assistant to join a respected architectural design firm based in London. You will play a vital part in ensuring the smooth day-to-day running of small busy teams, supporting both their operational needs and contributing to the welcoming atmosphere that defines the organisation. This role is 5 days a week working in the London office

What you will do:

  • Manage electronic correspondence for teams, ensuring all incoming emails are handled efficiently and distributed appropriately.
  • Arrange meetings, reviews, and set up refreshments for both internal teams and external guests, creating a welcoming environment for all visitors.
  • Oversee floor stationery supplies, maintain filing systems (both digital PDFs and paper archives), and ensure resources such as cameras and toolboxes are available for site visits.
  • Answer phone calls promptly, take accurate messages for colleagues who are unavailable, and provide cover for reception during lunch breaks, absences, or at the end of the day.
  • Type file notes, minutes, reports, or letters as requested by team members, maintaining high standards of accuracy and professionalism in all written communications.
  • Assist with light housekeeping duties around the office including watering plants on the floor to help maintain a pleasant workspace.
  • Support group activities such as managing daily diaries, project questionnaires, tender submissions, contact lists, and organising PPE for site visits.
  • Provide general administrative and secretarial support on one floor while being prepared to cover other floors when required due to leave or absence.
  • Help with rollover calls from reception and ensure external phone calls are managed effectively during busy periods.
  • Contribute positively to the overall atmosphere by assisting with ad hoc tasks as needed and demonstrating flexibility as the role evolves.

What you will bring:

  • Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint is essential for managing documents and supporting team productivity.
  • Excellent verbal and written communication skills enable you to interact professionally with colleagues at all levels as well as external guests.
  • A dependable approach allows you to work effectively both independently when required and collaboratively as part of a close-knit team.
  • Outstanding time management abilities help you prioritise multiple tasks efficiently in a busy office environment without compromising attention to detail.
  • A flexible attitude ensures you can adapt quickly when priorities shift or when asked to assist with new or unfamiliar tasks.
  • Interest in or affinity with design environments means you appreciate the creative aspects of engineering projects and enjoy being part of a multidisciplinary workplace.
  • Strong organisational skills allow you to manage diaries, arrange meetings seamlessly, keep track of supplies, and maintain orderly filing systems.
  • A polite manner combined with sensitivity towards others helps foster positive relationships within the team and among visiting guests or clients.
