Team Assistant
An exceptional opportunity has arisen for a Team Assistant to join a highly respected global investment organisation in London, supporting their Private Equity division. You will play a pivotal part in ensuring the smooth running of a dynamic team.
What you will do?
- Provide comprehensive secretarial, organisational, and administrative support to the Head of Europe, Partner, and Private Equity teams based in the UK and Europe.
- Coordinate complex domestic and international business travel arrangements including cost management, approvals, logistics, and detailed itineraries.
- Manage diaries, emails, contacts, and provide proactive assistance to ensure seamless daily operations for senior leaders.
- Reconcile monthly expenses and corporate credit card statements for the team by assigning appropriate coding and ensuring all approval procedures are followed meticulously.
- Facilitate onboarding for new staff members by preparing induction packs, managing logistics, and coordinating administrative requirements.
- Organise conference registrations and speaking engagements for team members while maintaining accurate records on relevant documentation systems.
- Process invoices efficiently by allocating them to appropriate funds or trusts, handling purchase requisitions for legal work, setting up new vendors when necessary.
- Oversee internal committee requirements by ensuring timely completion of reports and submissions for Private Equity Investment Committees.
- Format internal and external documents for client meetings while arranging sign-offs as required by company policy.
- Coordinate meetings with external parties, clients, and internal staff including preparation of presentation materials, invitations/RSVPs, room bookings/setup, equipment needs, and catering arrangements.
What you will bring?
- At least four years experience providing high-level executive support within a busy office environment where multitasking is essential.
- Broad knowledge of office administration practices including diary management, document formatting, expense reconciliation, invoice processing, and event coordination.
- Advanced proficiency in Microsoft Outlook, Word, PowerPoint; intermediate skills in Excel are also required for effective task execution.
- Demonstrated ability to work dependably both independently and collaboratively within cross-functional teams spanning multiple locations.
- Exceptional relationship-building skills that enable you to connect with colleagues at all levels including remote partners and act as a trusted point of contact.
- Proven experience coordinating complex domestic and international travel arrangements with meticulous attention to detail.
- A proactive approach combined with initiative; able to anticipate needs even when not all information is available.
- Excellent time management abilities allowing you to juggle multiple priorities while maintaining professionalism at all times.
- Experience supporting senior executives or leadership teams within financial services or professional services environments is highly desirable but not essential.
