An esteemed regulatory organisation is seeking an Executive Strategy Officer to play a pivotal role in supporting its board and ensuring the smooth operation of its disciplinary processes. What you will do:

  • Provide comprehensive administration and management of daily operations to ensure seamless functioning of the organisation’s disciplinary board.
  • Act as a reliable point of continuity by becoming familiar with the duties of the Clerk and providing cover for hearings when required, ideally drawing on your legal qualifications.
  • Work collaboratively with the Board Chair to identify emerging issues that could affect the organisation’s reputation and communicate these promptly.
  • Regularly update policies, guidance documents (including Indicative Sanctions Guidance), office handbooks, operational procedures, risk registers, and business continuity plans while benchmarking against similar regulators.
  • Compile the Annual Report in consultation with the Chair to reflect achievements and progress throughout the year.
  • Prepare high-level monthly case progress reports for the Board to inform decision-making and track performance.
  • Maintain and report on key performance indicators (KPIs) as well as patterns of member referrals for both the Board and sponsors.
  • Arrange all meetings—both virtual via Teams and face-to-face—including booking venues and organising catering where necessary.
  • Manage internal governance processes as Company Secretary by preparing agendas, circulating board papers and minutes, identifying actions, and fulfilling statutory duties under relevant legislation.
  • Support finalisation of annual accounts, oversee AGM administration, line manage administrative staff, coordinate recruitment of new directors or panel members, manage contracts for employment or services, respond to queries from panel members, organise training days, liaise with professional standards bodies, handle invoice payments within authority limits, monitor banking transactions and debt recovery efforts, review fee claims for appropriateness before authorisation by directors, develop annual budgets in collaboration with leadership, monitor GDPR compliance requirements reporting to the Board as needed, maintain digital records on OneDrive, arrange publication of hearing notices/decisions online, and ensure website/social media content remains current.

What you will bring:

  • Demonstrated experience in administration or operations management within a regulatory or professional services environment is highly desirable.
  • A legal qualification (or equivalent experience) enabling you to step into Clerk duties during hearings is preferred but not essential if you possess strong familiarity with legal processes.
  • Proven ability to update policies, draft guidance documents or handbooks, manage risk registers/business continuity plans effectively.
  • Experience compiling annual reports or similar high-level documentation in consultation with senior leadership teams.
  • Strong analytical skills for preparing monthly case progress reports/KPI tracking combined with attention to detail when monitoring referral patterns.
  • Excellent organisational abilities for arranging complex meetings (virtual/in-person), booking venues/catering as needed.
  • Company secretarial experience including preparing agendas/minutes/board papers/actions plus knowledge of statutory duties under Companies Act or similar legislation.
  • Financial acumen demonstrated through invoice processing within authority limits/budget development/monitoring banking transactions/debt recovery/reviewing expense claims prior to authorisation by directors.
  • People management skills including line management/recruitment/training coordination/contract administration/responding sensitively to queries from panel members/stakeholders.
  • Outstanding interpersonal communication skills for liaising with professional standards bodies/internal teams/external agencies plus proficiency maintaining digital records (OneDrive)/ensuring GDPR compliance/updating websites/social media.

This role is a part time role working 21 hours per week
