Receptionist
A prestigious Financial services organisation in the heart of London is seeking a Receptionist to become the welcoming face of their office. You will play a pivotal part in ensuring the smooth running of the front-of-house operations, supporting both guests and colleagues alike. Flexibility is key, as you may occasionally be required to supervise other reception sites within the firm, providing you with exposure to different teams and environments.
This role will be 5 days in the London office - Shift pattern 8am - 5pm
What you will do:
- Welcome all guests with warmth and professionalism, ensuring they feel comfortable and attended to upon arrival at the London office.
- Book meetings efficiently and manage conference room schedules to ensure seamless use by staff and visitors throughout the day.
- Arrange domestic and international couriers promptly, handling logistics for packages and important documents as needed.
- Accept deliveries of small packages with care, maintaining accurate records and ensuring items reach their intended recipients without delay.
- Keep the reception area and conference rooms tidy at all times, presenting an organised and inviting space for both guests and colleagues.
- Answer incoming phone calls courteously, forwarding them appropriately or taking detailed messages when necessary to support effective communication within the office.
- Undertake ad hoc administrative tasks as requested by management or colleagues, demonstrating flexibility and willingness to assist wherever needed.
- Supervise and monitor other reception sites within the firm on occasion, requiring travel between locations and adaptability to new environments.
- Prioritise tasks effectively in a fast-moving environment, responding quickly to changing demands while maintaining high standards of service.
- Collaborate closely with team members across departments to ensure smooth day-to-day operations and foster a cooperative workplace atmosphere.
What you will bring:
- At least 2 years experience working as a Receptionist within a Finance or Law firm
- Demonstrated experience using Microsoft Office applications confidently in a professional setting.
- Strong Excel skills combined with accurate data entry abilities are highly desirable for managing information efficiently.
- Meticulous attention to detail ensures that all tasks are completed thoroughly and accurately every time.
- A proactive approach allows you to anticipate needs before they arise and take initiative in supporting colleagues.
- Logical thinking paired with effective problem-solving skills helps you address challenges constructively as they occur.
