Office and Operations Assistant

An exciting opportunity has arisen for an Office and Operations Assistant to join a thriving organisation in London on an initial 1 month contract basis. This multi-faceted position is perfect for someone who enjoys being at the centre of a supportive, collaborative team, where your interpersonal skills and organisational abilities will be highly valued. You will play a pivotal role in ensuring the smooth running of daily office operations, acting as the welcoming face of the company and providing essential support to both staff and visitors.

This role is 5 days a week working in the London office

What you will do:

  • Serve as the primary front-of-house representative by greeting visitors, handling refreshments and catering needs, answering phones, booking meeting rooms, setting up and clearing spaces, taking messages, distributing post, and ensuring the office remains tidy and inviting.
  • Liaise with suppliers to order necessary office supplies, manage relationships with couriers for deliveries and collections, oversee printing and binding requests, and act as the go-to person for general office queries.
  • Coordinate day-to-day office operations including communication with building management (Fora), addressing maintenance issues promptly, and ensuring all facilities are functioning optimally.
  • Support staff travel arrangements in line with company policy by booking transport or accommodation as needed and collaborating with Finance on related costs.
  • Manage monthly credit card reconciliations and petty cash processes for office expenditure to ensure accurate financial records are maintained.
  • Assist the Operations Manager with updating timesheets, compliance reporting requirements, coordinating Net Promoter Score (NPS) surveys, and other operational projects as required.
  • Provide diary management support by scheduling meetings, preparing agendas, taking minutes during commercial review sessions, tracking action items, and following up on outstanding tasks.
  • Contribute to ad hoc administrative duties as they arise to support the wider team’s success and maintain efficient workflows across departments.

What you will bring:

  • Demonstrated experience (ideally 2 years or more) in an office administration or operations support role within a busy environment where attention to detail was essential.
  • Excellent interpersonal skills that enable you to build rapport quickly with colleagues, clients, suppliers, and visitors alike while maintaining a polite and approachable manner at all times.
  • Proficiency across Microsoft Office suite (Word, Excel, Outlook) allowing you to handle documents efficiently, manage calendars effectively, and communicate clearly via email or phone.
  • Strong organisational abilities that help you prioritise competing demands without losing sight of deadlines or quality standards.
  • Experience managing office facilities including liaising with landlords or building managers regarding maintenance issues or improvements.
