Transfer Agency Administrator

What you'll do:
Your day-to-day responsibilities will involve managing investor communications across multiple channels with care and professionalism. You will be entrusted with handling complex transactions such as subscriptions, redemptions, transfers, conversions, and switches—ensuring each is processed accurately and within strict deadlines. Your ability to onboard new funds efficiently will contribute directly to the success of product launches and corporate actions. Maintaining precise records for tax classification and KYC data will be essential for compliance purposes. You will also be responsible for instructing cash movements related to share dealings while supporting wider operational projects that drive efficiency across the department. By participating in team initiatives such as procedure documentation or system testing—and by providing guidance to new colleagues—you will help foster a culture of continuous improvement. - Respond promptly and accurately to all investor and client queries received via telephone, post, fax or email while consistently delivering high standards of client service.
- Capture, execute, and settle all investor subscription, redemption, stock transfer, conversion, switch transactions, and other fund activities with precision and timeliness.
- Monitor and input client dealing instructions in accordance with established operational procedures to ensure accuracy at every stage.
- On-board new funds as well as manage fund activity events such as share class launches, closures, mergers, and conversions as required by business needs.
- Record investor tax classification information meticulously to maintain up-to-date records for compliance purposes.
- Ensure timely establishment of new accounts in line with Anti-Money Laundering (AML), Know Your Customer (KYC), and Customer Due Diligence (CDD) protocols.
- Maintain the database by keeping KYC data and core static information current according to departmental guidelines.
- Process and quality check investor transfer instructions within agreed turnaround times while retaining clear records of any outstanding or missing information.
- Instruct share dealing related cash movements efficiently to relevant custodians ensuring regulatory requirements are met.
- Support bulk mailings, operational projects, payment processes, system enhancements, risk-reduction initiatives, and provide training for new team members as needed.
What you bring:
- At least one year of direct experience working within fund operations or administration in the financial services sector is required for this position.
- A qualification such as IOC or evidence of working towards it—or an equivalent industry-recognised certification—is desirable but not mandatory.
- Demonstrated customer service experience with a proven ability to resolve complex issues under challenging deadlines is essential.
- Excellent planning and organisational skills combined with a flexible approach enable you to adapt quickly to changing priorities within the team environment.
- The ability to work using your own initiative while remaining dependable within a collaborative setting is highly valued.
- Effective verbal reasoning skills paired with strong numerical abilities allow you to interpret data accurately when processing transactions or resolving queries.
- Proficiency in keyboard skills including MS Excel is necessary along with the willingness to learn bespoke systems used by the business.
- A thorough understanding of AML legislation, KYC procedures, CDD protocols, and regulatory requirements relevant to fund administration is important for success in this role.
- Attention to detail when recording investor information ensures compliance with internal controls and external regulations at all times.
