What you'll do:

As an Accounts Assistant, you will play a vital role in supporting the finance team’s daily activities. Your responsibilities will span across various aspects of financial administration including invoice management, payment processing, reconciliation tasks, and payroll assistance. You will collaborate closely with colleagues across departments such as Wholesale and Logistics to ensure smooth financial operations. Your ability to manage multiple priorities efficiently while maintaining high standards of accuracy will be essential. In this role, you will also contribute to regular reporting cycles and provide valuable support during finance meetings. By taking ownership of key processes like bank reconciliations and e-commerce tax code monitoring, you will help uphold the integrity of financial data. This position offers you the chance to build strong inter-personal connections within a supportive team while developing your technical expertise in accounting software such as Xero.

  • Upload invoices received daily into Xero for processing and approval, ensuring all documentation is accurate and up-to-date.
  • Chase approvers to guarantee timely payments and reconcile supplier statements against Xero balances to maintain financial integrity.
  • Process factory invoices on a seasonal basis, reconciling total amounts due with invoice trackers for precise record-keeping.
  • Prepare weekly payment runs for due invoices, submitting them for authorisation in the bank system as required by internal controls.
  • Reconcile Pleo transactions each day, following up with users weekly for any missing receipts or notes to ensure compliance.
  • Create and send wholesale invoices upon delivery of goods, raise credit notes for discrepancies, monitor outstanding balances, and liaise with the Wholesale team regarding overdue accounts.
  • Manage proforma and deposit customers by creating invoices, monitoring payments, and coordinating with Logistics and Wholesale teams on payment status updates.
  • Provide daily bank balance updates via email, reconcile all receipts and payments promptly, and complete month-end bank statement reconciliations in Xero.
  • Prepare weekly schedules for accounts payable and receivable to support regular Finance meetings with clear reporting.
  • Assist with payroll by setting up payments, preparing payroll journals for review by the Finance Manager, and arranging HMRC liability payments.

What you bring:

To excel as an Accounts Assistant in this role, you will bring hands-on experience from previous positions where attention to detail was crucial. Your background should include exposure to core accounting functions such as invoice processing, reconciliations, or payment preparation. You are comfortable navigating accounting software systems like Xero and can quickly learn new digital tools as required. Your interpersonal skills allow you to communicate clearly with both internal teams and external contacts while fostering a sense of trust through reliability. You understand the importance of meeting deadlines without sacrificing quality or accuracy. A willingness to collaborate closely with others ensures that you contribute positively to group objectives while also being able to work independently when necessary.   • Demonstrated experience in a similar accounts or finance assistant position where accuracy was paramount.

  • Proficiency using accounting software packages such as Xero or similar platforms for efficient workflow management.
  • Excellent communication skills that enable you to interact effectively with colleagues across different teams as well as external partners.
  • Strong time management abilities allowing you to prioritise tasks effectively within tight deadlines while remaining organised.
  • A proactive approach towards problem-solving coupled with self-motivation to take initiative when needed within a team context.
  • Commitment to teamwork and collaboration by sharing information openly and supporting others’ success within the department.
  • Ability to adapt quickly to new systems or processes while maintaining a positive attitude towards learning new skills.
  • Experience preparing reports or schedules for management review would be advantageous but not essential.
  • Familiarity with payroll processes or e-commerce tax codes is desirable but not mandatory.
