A Global Private Equity firm located in the heart of Central London, are looking for a talented Executive Assistant on a permanent basis to join their Investor Relations Team supporting Senior executives.

Job Summary:

As the Executive Assistant to the Investor Relations team, you will play a pivotal role in ensuring the smooth operation of our Investor Relations Team by providing administrative support to the Managing Directors. You will be responsible for managing their busy schedules, coordinating meetings and travel, and handling a range of day-to-day tasks to ensure their time is maximised efficiently. Your professionalism and discretion will be essential in this role as you will be exposed to sensitive information and will act as the primary point of contact for internal and external stakeholders.

Key Responsibilities:

• Calendar Management: Coordinate and manage the schedules of Managing Directors, including setting up meetings, conference calls, and appointments, ensuring optimal time management.
• Travel Arrangements: Plan and organise complex travel itineraries, including flights, accommodations, and ground transportation, with meticulous attention to detail.
• Meeting Support: Prepare meeting materials, take minutes, and assist with presentations as necessary. Coordinate and confirm meeting arrangements.
• Communication: Act as the primary point of contact for the Managing Directors, handling email, phone calls, and other correspondence, responding appropriately or directing them to the relevant party.
• Expense Management: Monitor and process expense reports in a timely manner.
• Administrative Tasks: Provide general administrative support, such as filing, photocopying, and document management.
• Confidentiality: Maintain a high level of confidentiality when dealing with sensitive information.

Qualifications:

• Must have experience as an Executive Assistant or in a similar role supporting senior executives.
• Proven experience working within a private equity firm or financial industry.
• Excellent organisational skills, with a strong attention to detail and the ability to prioritise tasks effectively.
• Exceptional communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Proactive problem-solving abilities and a can-do attitude.
• Discretion and the ability to handle confidential information with the utmost integrity.
• Flexibility to adapt to changing priorities and a fast-paced environment.
