I have a fantastic opportunity for a PA working within a fast paced role. This role will require an ability to work to tight and conflicting deadlines, process information accurately, making quick and effective decisions. The ideal candidate would be proactive, calm under pressure, ability to read the mood, reassess priorities, take initiative and be one step ahead, with a can-do attitude and able to work with minimal supervision.
The PA/Office Manager is the ‘authorised travel administrator’ for the office, and responsible for all travel arrangements booked for all Employees.
- As an PA/Office Manager you will be responsible for negotiating supplier contracts, manage office supplies, process expenses and raise payment due to segregation of duties
- Establish a relationship with the travel suppliers
- Provision of broad and effective PA support including complex diary management (across several time zones), meeting room co-ordination, arranging hospitality for meetings, occasional minute-taking, preparation of board presentations, client letters, messages and emails as required, ensuring that priority is given in a diplomatic and consistent way.
- Timely collation, printing and assembly of documentation, as required to support the MD, ensuring they are accurate, and consistent with corporate standards of presentation.
- Data entry and budget allocation of the office supplies invoices into the Oracle accounting system.
- As ‘Authorised Travel Administrator’ ensure all travel bookings are made in a timely way, in compliance with the company Travel policy
- Involvement in the effective co-ordination of external functions including marketing and company social functions liaising as necessary with the relevant departments and ensuring company processes and standards are followed and maintained in doing so.
- Flexibility to work outside normal office hours as and when required
- Training new starters on how to use the booking system
