Our client is seeking a highly organised and detail-oriented Support Officer for their Board Travel & Expenses department. This role offers an exciting opportunity to work within a dynamic team that provides the Corporate Secretariat to the key decision-making organs of the organisation.

The successful candidate will be responsible for analysing, reviewing, and processing travel and expense claims, ensuring adherence to the company's policy. This role requires excellent communication skills as it involves dealing with colleagues of all levels throughout the organisation as well as some level of senior client communication.

What you'll do:
As a Support Officer in the Board Travel & Expenses department, your primary responsibility will be to manage all aspects of board travel and expenses. This includes approving travel authorisations, validating expense claims, running regular reports, advising on policy matters, keeping senior management informed of any issues, monitoring year-end accruals, and assisting with team travel arrangements. Your ability to build effective working relationships at all levels in a multicultural environment will be crucial in this role.

• Manage the Board travel and expenses processes
• Approve Board-related Travel Authorisations, escalating where necessary
• Check and validate all Board travel-related, and miscellaneous expense claims to ensure that they are within the company's allowable limit
• Run the Lodge card and Open trip report on a regular basis and follow up with the respective Board offices, to ensure that outstanding claims are reconciled/closed
• Act as adviser to the Board Assistants on Travel and Expenses Policy matters
• Keep senior management abreast of issues as appropriate
• Monitor year-end accruals
• Assist with the arrangement of the BIA team's own travel and expenses

What you bring:
The ideal candidate for the Support Officer role will bring a strong administrative background along with excellent organisational skills. You should have a high level of numeracy and an eye for accuracy. Your ability to prioritise work under pressure while maintaining attention to detail will be key in this role. A background in accounting or bookkeeping would be advantageous but not essential. You should also have excellent written and oral communication skills in English.

• Secondary/High School Education
• Accounting/bookkeeping qualification or equivalent business experience would be an advantage
• Fluent English, with good written and oral communication skills
• Administrative and secretarial experience essential
• Knowledge of budgetary process desirable
• High level of numeracy
• Attention to detail and eye for accuracy
• Ability to build effective working relationships at all levels in a multicultural environment
• Strong team player
• Ability to exercise judgment on and deal discretely with confidential/sensitive information and data
