Company Overview
A leading investment bank is seeking a highly organised and experienced Executive Business Assistant to support a senior team in the Debt Capital Markets (DCM) and Sales divisions. This is a full-time, office-based role, requiring presence from Monday to Friday, 9 AM – 5 PM at our Bank Street office in Canary Wharf.
Team Overview
The role involves providing support to a group of Managing Directors and Executive Directors within a fast-paced and high-pressure environment. The team members are senior executives, frequently engaged in global travel and complex business engagements.
Key Responsibilities
As a Executive Business Assistant, you will be responsible for ensuring that all administrative and logistical needs of the senior team are managed efficiently and professionally. Your key responsibilities will include:
- Travel Management: Coordinating complex international and domestic travel arrangements, including flights, accommodation, and transfers, often on short notice.
- Expense Management: Managing expense submissions and ensuring timely reconciliation of costs for senior staff.
- Diary Management: Maintaining and managing busy and often changing calendars, scheduling meetings, and liaising with both internal and external stakeholders to ensure smooth meeting arrangements.
- Invoicing: Processing invoices and payments, liaising with the finance department to ensure smooth transactions.
- Event Planning: Organising and coordinating team events, offsites, and meetings, typically 3 to 4 times a year, ensuring all logistics are handled seamlessly.
- General Administrative Support: Providing ad-hoc administrative support including document preparation, communication on behalf of senior team members, and managing confidential business matters.
Ideal Candidate Profile
- Background: Previous experience in a similar administrative or executive assistant role within a top-tier investment bank or financial services firm. Experience at firms such as JP Morgan or other leading institutions is highly preferred.
- Organisational Skills: Strong ability to manage multiple tasks simultaneously, prioritize effectively, and handle time-sensitive requests in a high-pressure environment.
- Communication: Exceptional verbal and written communication skills, with the ability to liaise confidently with senior stakeholders and maintain the highest level of confidentiality.
- Attention to Detail: A keen eye for detail, ensuring accuracy in diary management, expense processing, and event organisation.
- Proactive: A self-starter who can anticipate the needs of the team, solve problems independently, and take a proactive approach to managing workload.
