An exciting opportunity has arisen for a reliable and competent Office Administrator/Executive Assistant to join an international team within a global investment firm.
The successful candidate will be responsible for undertaking administrative tasks, ensuring that the rest of the staff has adequate support to work efficiently. This role requires a candidate to be in the office 8:30am - 6pm Monday to Friday 5 days a week in the office.
What you will do
- Work closely with the Office Manager to ensure the smooth running of the office
- Manage and organise internal/external meetings and conferences for the wider team across all time zones
- Assist with sorting and delivering incoming/outgoing mail/packages/deliveries
- Manage agendas/travel arrangements/appointments etc. for the Senior management
- Provide administrative support to managers, other employees, and office visitors
- Assist Accounts with supplier invoice management
- Control office supplies and make sure it is in accordance with office needs
What you will bring
- Proven experience as an Office Administrator/ Executive Assistant
- Outstanding communication and interpersonal abilities
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Secretarial/Administration Diploma or equivalent
- Excellent written and verbal communication skills
- Excellent time management skills and ability to multitask and prioritise work
