Executive Assistant to the Master

Our client is seeking a highly organised and dependable Executive Assistant to support the Master and manage the Master's Lodge. This role offers an exciting opportunity to be part of a prestigious institution, ensuring smooth operations and facilitating high-level events. The successful candidate will have the chance to liaise with various departments, manage complex schedules, and provide comprehensive administrative support. This role requires excellent interpersonal skills, a knack for event management, and a commitment to maintaining confidentiality.

What you'll do:

As an Executive Assistant to the Master and Manager of the Master's Lodge, your role will be pivotal in ensuring smooth operations within this prestigious institution. You will be responsible for managing all aspects of the Master's Lodge, from overseeing hospitality arrangements for various events to managing procurement through the iDocs system. Your excellent organisational skills will be put to use as you coordinate complex schedules, prepare necessary documents for meetings, and maintain effective communication channels between various stakeholders. Your ability to handle sensitive matters with tact and discretion will be crucial in this role.

  • Manage the Master’s Lodge including overseeing hospitality arrangements for dinners, drinks receptions and meetings
  • Coordinate events such as recitals and talks, including liaison with speakers and performers
  • Manage procurement through the iDocs system and oversee the annual budget for the Master’s Lodge
  • Provide strong administrative support relating to the Fellowship and ensure sensitive communication between the Master, Fellows and other members of College
  • Maintain diary coordination with the Master’s spouse and arrange accommodation for the Master’s College guests
  • Prepare papers and briefings for College meetings and events, manage correspondence, invitations, and document safe-keeping

What you bring:

The ideal candidate for this Executive Assistant position brings a wealth of organisational skills along with proficiency in Microsoft Office Suite. Your experience in large-scale event management will be invaluable in this role as you'll be tasked with organising formal events as well as intimate high-level hospitality arrangements. Your ability to communicate effectively across all levels within the College will ensure smooth operations while your discretion in handling sensitive matters will uphold our standards of confidentiality. A flexible approach under pressure coupled with a willingness to take on varied tasks will make you a standout candidate for this role.

  • Excellent organisational skills with proficiency in Microsoft Office, Excel, Outlook, Teams and Zoom
  • Ability to communicate effectively with staff members from all parts of the College
  • Experience in large-scale formal event management as well as small scale, high level hospitality
  • Ability to work on own initiative as well as being a reliable team member
  • Ability to maintain discretion and confidentiality while dealing with sensitive matters
  • Flexibility under pressure with willingness to carry out a wide variety of tasks
