About the Role:


As an Executive Assistant, you will be assisting the EMEA Managing Director with:

  • Time management and project management
  • Maintaining the diary using MS Outlook
  • Travel Booking
  • Co-ordinating internal and external meetings and appointments within the diary
  • Heavy email management receiving instructions from the Director to action
  • Co-ordinating and organising catch-up meetings; appraisal coordination
  • Liaising with Managing Director, EMEA’s direct reports
  • Producing agendas
  • Producing minutes
  • Producing PowerPoint presentations for internal and external meetings including the EMEAA Monthly wrap up
  • Booking rooms / venues, catering and equipment for meetings and conferences as required
  • Organising programs and arrangements for visiting executives and distributing schedules via email and hard copy as required
  • Screening phone calls
  • Booking travel as and when needed including flight bookings, hotel reservation, cars and visas where required
  • Assist in raising purchase orders, monitoring approvals
  • Assist in ensuring items requiring approval are completed in a timely manner, including hiring requests, direct reports holidays requests and expense claims etc.
  • Coordinating internal Quarterly Regional Awards
  • Preparing expense claims
  • Filing / general administration

Who you are:

  • Experience as a Personal Assistant
  • 50 WPM typing speed
  • Able to demonstrate an ability to work in a fast-paced environment
  • Excellent oral and written communications
  • Confidence and poise to liaise with employees on all levels
  • Ability to work autonomously
  • Strong attention to detail and organisational skills
  • Ability to deal with multiple tasks and work under tight deadlines
  • Flexibility to deal with changing priorities and tasks
  • Discretion due to exposure to confidential information
  • Strong MS Office (Outlook, Excel, Word and PowerPoint) skills, particularly Excel (minimum intermediate level)
