Your day-to-day responsibilities will involve coordinating essential processes around contract execution and onboarding new counterparties.

What you'll do:

  • Coordinate internal processes related to contract execution and ensure all counterparty onboarding activities are completed efficiently and accurately.
  • Liaise regularly with both internal departments and external partners to facilitate timely onboarding procedures and approval workflows.
  • Arrange, track, and manage the entire contract signing process from initiation through completion, ensuring all documentation is properly handled.
  • Maintain meticulous filing systems and accurate records of contracts as well as associated documentation for easy retrieval and compliance purposes.
  • Review executed contracts thoroughly to confirm all necessary information is present for payment processing and settlement activities.
  • Monitor key contract milestones such as expiry dates, renewals, or amendments, issuing reminders as needed to relevant parties.
  • Support vendor agreement novation by preparing, organising, and maintaining all related documentation in accordance with company policies.
  • Assist in the preparation, organisation, retrieval, and ongoing maintenance of operational documents critical to business continuity.
  • Contribute actively to the creation, updating, and improvement of operational manuals and procedural guides used across the department.
  • Handle confidential or sensitive information with utmost discretion while supporting continuous improvement initiatives for administrative processes.

What you bring:

  • Previous experience working in administration, operations support, or middle office roles where accuracy and organisation were paramount.
  • Background in energy trading, commodities markets, or financial services is highly preferred due to the nature of the business environment.
  • Proficiency using Microsoft Office applications—especially Excel for data tracking, Word for document preparation, and Outlook for communication—is essential.
  • Strong numerical aptitude enabling you to perform fee calculations accurately and conduct basic reconciliations when required.
  • Excellent interpersonal skills allowing you to build positive relationships across Trading teams, Support Functions, Senior Management, and external stakeholders alike.
  • Highly organised approach with proven ability to manage multiple tasks simultaneously while meeting tight deadlines without compromising quality.
  • Exceptional attention to detail ensuring that all records are maintained accurately and any discrepancies are quickly identified.
  • Proactive attitude combined with reliability; you take ownership of your responsibilities while remaining open to feedback from others.
  • Clear written and verbal communication skills in both English and Japanese are essential for effective collaboration within this multicultural setting.
  • Demonstrated ability to handle confidential information sensitively while escalating issues appropriately when necessary.
